Role Purpose
Serve as a high-performing onsite representative of the Company during client events.
This role is responsible for ensuring seamless event execution, protecting the client experience, and upholding professional standards in fast-paced, high-visibility environments.
On-site Event Operations Professionals are not passive staff. They are trusted operators who anticipate needs, solve problems in real time, and represent the Company with confidence and composure.
This role reports directly to Engagement Managers or Directors.
Key Responsibilities
Event Execution and Logistics
Execute day of event operations, including registration management, check-in, materials distribution, vendor coordination, and schedule oversight.
Oversee run-of-show execution and ensure adherence to event timelines.
Set up, monitor, and troubleshoot registration systems, presentation materials, and basic event technology as needed.
Conduct pre-event walkthroughs and post-event breakdown procedures.
Maintain organized documentation of onsite decisions, changes, and issues.
Client and Attendee Experience
Serve as a visible, professional presence for client leadership, sponsors, speakers, and attendees.
Respond quickly and respectfully to questions, concerns, or unexpected issues.
Maintain calm, confident communication even during high-pressure situations.
Protect the client’s brand and reputation at all times. This may include working with and adhering to specific policies or talking points/scripts.
Problem Solving and Real-Time Decision Making
Anticipate operational risks and intervene before small issues become disruptions.
Make sound decisions independently within defined authority limits.
Escalate appropriately when higher-level approval is required.
Adapt quickly to schedule changes, venue constraints, or technology challenges.
Team Collaboration
Coordinate effectively with other onsite staff, vendors, venue personnel, and client representatives.
Provide guidance to junior event support staff when assigned.
Maintain professionalism and respect in all interactions.

Requirements
Experience
2 or more years of experience in event operations, hospitality, conference management, or related environments preferred
Experience supporting professional events strongly preferred
Prior experience working in fast-paced, client-facing environments required
Skills and Capabilities
Strong organizational discipline and attention to detail
Clear and professional verbal communication skills
Ability to lift and move event materials as required
Comfort working long hours during multi-day events
Familiarity with registration systems, event apps, or basic presentation technology preferred
Demonstrated ability to stay calm and solution-oriented under pressure
Professional Standards
Punctuality and reliability are non-negotiable
Professional appearance and demeanor required (some events may require a dress code)
Ability to follow instructions precisely while exercising independent judgment
Commitment to representing the Company and client with integrity
Physical Requirements
Ability to lift and carry materials weighing up to 40 pounds without assistance
Ability to lift and move items such as registration boxes, signage, printed materials, event supplies, and small equipment
Ability to stand and walk for extended periods of time during event days, which may exceed 8 to 10 hours
Ability to bend, reach, and set up materials such as signage, table displays, and equipment
Ability to load and unload event materials from vehicles or transport carts as needed
Willingness to work in a range of event environments, including conference centers, hotels, outdoor venues, and university facilities
Transportation
Ability to travel to event sites, which may require driving your own vehicle, taking public transportation, or air travel.
